Choose a consistent brief

Decide whether the order needs one style or a small range for different activities. A club may want kids caps for one team and kids bucket hats for an outing. Identify the exact product names so the quote does not rely on a vague description. Ask about alternatives only after stating which details are essential.

Collect sizes before requesting a final total

Measure the wearers and use the current chart for each product. Record quantities by size, colour and style. Keep personal information to the minimum needed for organising the order; a sizing tally often works without sending a full list of children’s names. If individual personalisation is requested, confirm the process before collecting that information.

Check the artwork with the responsible person

Use the approved school or club logo and check any wording carefully. Send a clear file with the preferred placement. Ask for a compatible method and a proof that refers to the chosen hat. A logo used on shirts may need a different size or layout for headwear because the surface and seams differ.

Compare complete quotations

Request the hats, branding, setup where applicable, VAT and delivery as identifiable items. Check whether quantities refer to individual hats or packing units. A quotation is easier to compare when every supplier is responding to the same size schedule and artwork requirement. Confirm any sample costs or approval arrangements separately.

Give the delivery team a practical destination

Provide the suburb, town, postal code and receiving hours. If the order must arrive before a school outing or tournament, give that date and allow the supplier to confirm what is achievable. Your requested date is a planning input, not a booked production slot. Identify a contact who can receive the goods.

Keep a simple reorder record

Save the product references, sizing tally, approved artwork and order number. Check the received order against that record and contact the team promptly if something differs. For a later order, confirm availability and specifications again. A saved reference helps the discussion but does not guarantee that the same options remain in supply.
